This Privacy Policy is specific to FacilitatorIQ and the way commercial facility teams and vendor partners use the platform.

1. What FacilitatorIQ does

FacilitatorIQ is a commercial facility vendor-management and RFQ platform. Facility organizations use FacilitatorIQ to manage locations, vendors, compliance documents, RFQs, bids, messages, and related operational records. Vendor organizations use FacilitatorIQ to maintain profiles, service coverage, documentation, respond to RFQs, communicate with facilities, and participate in commercial opportunities.

This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, create an account, use the FacilitatorIQ platform, submit forms, upload files, send messages, respond to RFQs, or otherwise interact with our services.

2. Information we collect

Account and user information: name, email address, phone number, job role, login credentials or authentication identifiers, organization membership, invitation status, notification preferences, and related account settings.

Facility organization information: company name, facility locations, addresses, cities, states, ZIP codes, location contacts, vendor lists, saved vendors, vendor invitations, compliance requirements, RFQ history, internal notes, and operational preferences.

Vendor organization information: company name, contact details, website, logo, trade categories, service descriptions, service areas, radius settings, industry coverage, profile details, plan or subscription information, lead and RFQ participation activity, and team members.

RFQ, lead, and transaction information: RFQ titles, scopes, categories, urgency, due dates, budgets, location details, attached files, vendor invitations, responses, prices, decline reasons, questions, awards, lead status, billing status, and related audit history.

Documents and uploads: insurance certificates, licenses, W-9s, proposals, profile documents, vendor agreements/MSAs, RFQ attachments, and metadata such as file name, type, size, upload time, review status, and facility scope.

Communications: messages between facilities and vendors, invitation messages, notifications, support requests, feedback, and other communications sent through FacilitatorIQ.

Usage and technical information: IP address, device and browser information, pages viewed, actions taken, timestamps, session information, error logs, security logs, and similar information used to operate, secure, and improve the platform.

Billing information: plan selection, subscription status, invoice status, payment-related identifiers, and transaction metadata. Payment card details are handled by our payment processor and are not intended to be stored directly by FacilitatorIQ.

3. How we use information

We use information to create and manage accounts, authenticate users, assign users to facility or vendor organizations, operate dashboards, maintain vendor networks, support RFQ workflows, process vendor invitations, enable bid submissions, manage compliance documentation, deliver messages and notifications, administer subscriptions and billing, provide support, troubleshoot issues, prevent fraud or misuse, enforce platform terms, improve product functionality, and comply with legal obligations.

We may use facility and vendor profile information to help match vendors to facility locations, service areas, industries, RFQs, and commercial opportunities. We may use location and service-area information to determine whether a vendor appears eligible for a facility location or RFQ.

4. How information is shared

Between facilities and vendors: FacilitatorIQ is designed to share relevant commercial information between facility organizations and vendor organizations. For example, a facility may see vendor profile details, service areas, compliance documents, messages, RFQ responses, and invitation status. A vendor may see facility-provided RFQ details, location information, scope documents, messages, and award or response status.

Within an organization: Users associated with the same facility or vendor organization may be able to view shared organization records, including RFQs, vendors, leads, messages, documents, locations, and activity history depending on their role and permissions.

Service providers: We may share information with vendors who help us host the platform, store files, process payments, send email or notifications, monitor security, analyze usage, and provide support. These providers are authorized to use information only as needed to provide services to us.

Legal and safety reasons: We may disclose information if required by law, subpoena, court order, regulatory request, or if we believe disclosure is necessary to protect FacilitatorIQ, users, facilities, vendors, the public, or the integrity and security of the platform.

Business transfers: If FacilitatorIQ is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction subject to appropriate protections.

5. Documents, compliance files, and sensitive business records

FacilitatorIQ may store and display business documents such as insurance certificates, licenses, W-9s, proposals, MSAs, and RFQ attachments. These files may contain business contact information, tax information, insurance policy information, licensing information, signatures, pricing, scope details, and other commercially sensitive records.

Users should upload only documents they are authorized to provide. Facility and vendor organizations are responsible for ensuring their uploads are accurate, lawful, current, and appropriate for sharing with the intended parties.

6. Cookies and similar technologies

We may use cookies, local storage, session storage, and similar technologies to keep users signed in, remember preferences, protect accounts, measure site performance, understand product usage, and improve the user experience. Browser settings may allow you to block or delete cookies, but some platform features may not work properly without them.

7. Data retention

We retain information for as long as needed to provide the platform, maintain business records, support RFQ and vendor history, comply with legal obligations, resolve disputes, enforce agreements, maintain audit logs, and protect platform security. Some records, such as RFQ history, compliance decisions, billing records, and audit logs, may be retained even after an account is deactivated if needed for legitimate business, legal, or operational reasons.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, and disclosure. No internet or storage system is completely secure, and users are responsible for maintaining the confidentiality of their login credentials and controlling access within their organizations.

9. Your choices and requests

Depending on your location and relationship with FacilitatorIQ, you may have rights to request access, correction, deletion, restriction, portability, or objection regarding certain personal information. Organization records may also be controlled by your facility or vendor organization. 10. Children

FacilitatorIQ is a business-to-business platform for commercial facility operations and vendor services. It is not intended for children, and we do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date and may provide additional notice through the website, platform, or other reasonable means.
